PBMS Upgrades Coming July 19, 2016

The PBMS website — www.pbms.us —- will not be available Tuesday July 19th 3:00 to 4 pm CT as the following upgrades to the PBMS site will be rolled out:

1. New organization characteristic for “Organization Inmate Population”. This value will be the sum of prisoners housed + outsourced prisoners. It will be the denominator for calculating the rates for the organization characteristics report. Users need only to report:

Inmates Housed: Number of inmates in facilities operated by the DOC on the last day of a given month. Do not include inmates housed in other states’ correctional facilities, facilities not operated by the DOC, or parolees. Include inter-state compact cases and offenders housed in DOC facilities as “safe keepers,” i.e., for an evaluation/diagnostic assessment or as a courtesy for a local facility or law enforcement agency.

Inmates Outsourced: Number of inmates in facilities not operated by the DOC on the last day of a given month. Include inmates housed in other states’ correctional facilities, facilities not operated by the DOC such as facilities operated by private vendors and county or regional jails.

The System will compute the sum of the inmates housed + inmates outsourced to generate the organization inmate population.

For July 2015 – to current, the System will re-compute the organization rates.

2. New file formats for the upload template: • .xlsx, • .csv, or • .txt. • Attached are copies of the new .xlsx and .csv templates.

3. Upgrades to Current Performance Measures Reports – Allows user to specify a key indicator or a specific set of key indicators to be included a performance measures report.

• Monthly Facility Performance Measures Across Agency – Select up to 5.

• Monthly Facility Performance Measures – Select up to 5.

• Monthly Organization Performance Measures – Select up to 5.

Current organization and facility key indicator reports that lists all indicators are certainly still available. This new option allows the user to pick and choose the specific key indicators to be included in a report.

4. Modifications to the Comparative Organization and Comparative Facilities reports:

• Allows for specification a date range for the report rather than just a single month, for example, January 2015 to December 2015.

• Computes the total count for the key indicator for the specified date range. For example, if selected key indicator is “Inmate on Staff Assaults” the report will provide the total number of inmate on staff assaults that occurred for the agency during the specified date range.

• Computes National and/or My Comparative Organization/Facility rates.

5. New Comparative Organization Characteristics report that enables users to select up to six characteristics to compare across agencies for a specific month.

6. Display a message that indicates the best browser to be used in order to have the best experience when using the website.
